Legal Administrative Assistant

Kutak Rock LLP has an opening for a full-time Legal Administrative Assistant in its Washington DC office. Kutak Rock is a national law firm with offices in 18 locations, and it has an excellent benefits package that extends firm-wide. The individual will support a variety of practices (including real estate, commercial litigation and public finance). Proficiency in Microsoft Office products, including Office 2013 is necessary. Excellent organizational skills, and a minimum of five years’ of litigation secretarial experience including experience with electronic filing in both state and federal court is required. The ideal candidate will have the ability to work well under the pressures of deadlines, prioritize and multi-task, and have the ability to move from one project to another. Candidate must have excellent verbal and written communication skills with an aptitude to interface with lawyers, clients and staff.

Duties and Responsibilities:

  • Typing pleadings, discovery, briefs, memorandums, a variety of transactional documents, and correspondence to include:
    • Section and page breaks
    • Cross referencing
    • Page numbering
    • Headers/Footers
    • Styles and schemes
    • Document comparisons
    • Table of Contents/Table of Authorities
  • Submitting state and federal court filings
  • Answering telephones and covers for others during work day
  • Using Microsoft Office applications
  • Handles client matters (when appropriate) through telephone and e-mail
  • Using Intapp Time (software package) for time and expenses
  • Keeps record of attorney’s time and expenses and submits to Accounting Department in a timely fashion; recapping expense memoranda and other miscellaneous accounting projects as assigned
  • Maintains work calendars by scheduling appointments, conference calls and other meetings
  • Prepares travel, hotel and car arrangements by using the internet
  • General office duties, such as preparing copies, printing e-mails and documents
  • Organizing and maintaining extensive sets of files, both paper and electronic
  • Using FileTrail (software package) and organizing/maintaining sets of files
  • Organizing and maintaining work room and supplies
  • Must be flexible with hours when work demands; and other duties as assigned

Job Specifications: 

Education and Experience

  • High School (or equivalent) required; college given preference
  • Five or more years' experience as a litigation secretary
  • Advanced knowledge of Microsoft Word
  • Experience with Power Point and Excel
  • Excellent grammar and spelling skills
  • Ability to use transcription equipment a plus
