Conflicts and Records Specialist

JOB SUMMARY
The Omaha office of Kutak Rock LLP is currently seeking a Conflicts File Opening and Records Specialist who will be responsible for processing client conflict of interest reports, new file creation, records management, and completing audit letter requests.

This is a hybrid position with the standard work hours of 8:30 a.m. to 5:00 p.m. 

RESPONSIBILITIES
Primary

- Utilizes computerized databases to enter information for active and closed files
- Retrieves documents and /or files as requested or needed
- Prepares file jackets for new files
- Transfers files from active to closed 
- Assists in record review/destruction follow-up activities
- Compares and checks known entities to the firm for conflicts that may arise 
- Assists with the file opening process for the entire firm 
- Receives audit letter requests from clients and follow firm procedures to complete audit letter requests timely and accurately with attorneys and the firm’s Audit Letter Committee
- Provides administrative support to the firm’s Audit Letter Committee
- Ensures responses to audit letters are timely and filed in the firm’s document management system
- Assists in sending engagement checklists to the appropriate Engagements Committee
- Ensures compliance to the Engagement Committee’s policies 

Secondary
- Sorts incoming mail
- Hand-delivers, ships, or emails documents and information upon request
- Filing, photocopying, and scanning
- Assists with other duties as necessary

QUALIFICATIONS: Skills & Abilities
- Excellent communication skills; aptitude to interface with vendors, attorneys, and staff
- Ability to work in a team-oriented environment
- Strong computer and typing skills
- Ability to work under pressure of deadlines
- Keen attention to detail and accuracy
- Ability to prioritize and multitask
- Ability to handle confidential matters with discretion
- Proven ability to problem-solve, think independently and tackle projects with appropriate supervision
- Proficient with Microsoft Office Suite, specifically Outlook, Word, and Excel
- Flexibility to work overtime

QUALIFICATIONS: Education & Experience
- High school or equivalent required; Bachelor’s or Associates degree (or equivalent work related experience) preferred
- At least one year of related work experience

Physical Effort

- Must be able to move boxes weighing up to 50 pounds each
 
Salary Range: $37,000 - $46,000
