Office Services Supervisor

JOB SUMMARY

Supervises Records Center and Office Services Department. The ideal candidate will be a team-oriented professional, have the ability to work well under the pressures of deadlines, prioritize and multi-task, and have the ability to move from one project to another. In addition to excellent verbal and written communication skills, an aptitude to interface with clients, courts, lawyers, and staff is needed.

JOB DUTIES AND RESPONSIBILITIES

  • Supervise and coordinate File Clerk, Housekeeper, Photocopy/Scanning Specialist and Legal Couriers in completion of duties
  • Coordinate delivery services
  • Manage firm vehicle
  • Purchase and inventory stock office supplies
  • Implement and update policies and procedures with respect to records and client indexes
  • Coordinate storage, usage and disposal of records
  • Develop and present orientation office personnel
  • Coordinate office procedures among other firm offices
  • Interview and hire new employees
  • Counsel and conduct performance evaluations
  • Flexibility to work nights and weekend

Education and Experience

Four-year college degree preferred. Minimum two years office experience in a supervisory capacity. Advanced knowledge of Windows 10, including Microsoft Office 2013. Must be able to work with and handle confidential materials. Ability to plan and organize the workflow of two departments. Excellent interpersonal communication skills to interface with both in person and on the telephone with attorneys, staff members, clients and vendors.
